Te Whiwhinga mahi | The opportunity
Our central finance team are seeking a Research Contracts Administrator to support our research and grant programmes across our faculties.
You will be responsible for reviewing and uploading contracts into our internal systems. You will be expected to interpret contractual terms and conditions to set-up, maintain and monitor project activations, contract variations/terminations, billing, project deliverables and closure.
You will also be expected to proactively monitor billing and project deliverable schedules to ensure revenue is maximised. Being the initiator of the projects post award, you will provide critical contract visibility and contractual information to enable our stakeholders to manage the delivery of their projects in a timely and effective manner. Throughout the lifecycle of different projects, you will be expected to monitor contract compliance to ensure contractual obligations are met and keep the stakeholders abreast to support project delivery.
Your responsibilities will involve:
- Ensuring contracts (and their variations) are set up and maintained into relevant systems
- Monitoring and tracking contract deliverables
- Managing contract invoices, including investigating anomalies
- Oversight of monthly reports
- Ensuring project portfolios are meeting contract obligations, including monitoring and escalating anomalies

This is a fulltime (37.5 hours per week), 12-month fixed term contract
Remuneration: $56,600 - $63,000 per annum dependent on experience

We are seeking someone who has experience with research funding and programmes as you will be part of a team responsible for checking contractual agreements and ensuring timelines and deadlines are met. You will thrive in this role if you enjoy proofreading, and you have the confidence to call and email a variety of people in the business to move things forward and help implement needed changes.
You core focus will ensuring research contracts are executed and managed accurately and efficiently which are in-line with University polices. You will do this via focused and effective contract reading and proofing and your ability to raise concerns and work with stakeholders to solve adjustments and errors.
- 3 - 4 years’ accumulative experience working with financial processes and systems. • Strong financial administration skills including exposure to complex project, complex problem solving and Contract administration.
- You’ll have exceptional administration skills, with exposure to research/project or contract administration.
- Previous experience working in a multi-discipline research environment
- Comprehensive knowledge and understanding of data integrity and maintaining databases
- You’ll be a real ‘people-person,’ with the interpersonal and relationship-building skills to enable you to deliver a first-class service to your stakeholders.
- Naturally, you’ll be computer-literate, and at home with Microsoft Office suite.
